About the Position

Position Description

Position Title: Purchasing Clerk & Assistant Bookstore Director     
Department: Bookstore/Purchasing
Reports to: Director of Bookstore and Purchasing
Full-time position, non-exempt hourly

The mission of the Bookstore is to provide a convenient and efficient source for textbooks, school supplies, official school merchandise, and biblical resources for students, faculty, staff, alumni, and area churches. Institutional Goals supported by Department: IG 2, 4, 5

A. Summary

The Purchasing Clerk and Assistant Bookstore Director assists the Director of Bookstore and Purchasing in the day-to-day operations of the OCC Bookstore and the Purchasing Department, ensuring that items requested are ordered and filled in a timely fashion. 

B. Primary Duties and Responsibilities

  1. Performs the initial check on all purchase requisitions, possibly including assigning a vendor or locating the best possible price
  2. Monitors purchase requisitions to ensure they move through the approval process
  3. Watches for the completion of the purchase requisition approval process and the issuance of a Purchase Order
  4. Sends the Purchase Order to the vendor for fulfillment
  5. Monitors college credit card usage and signs them out to departments for purchases as needed
  6. Receives packing slips from each department/individual receiving materials
  7. Delivers prepared invoices to the Purchasing Agent for approval and delivers all approved invoices to the Accounts Payable clerk for payment
  8. Assists the Director of the Bookstore in overseeing Bookstore employees, including selecting, hiring, training, and appraising job performance
  9. Assists in daily operations of the Bookstore, including opening and closing, monitoring inventory, placing orders, and restocking
  10. Works with Bookstore vendors for returns of damaged merchandise as well as overstock returns
  11. Operates the register when needed to assist customers with sales and special orders
  12. Imprints Bibles for customers
  13. Fills in for the Director in their absence
  14. Works during special events on campus as needed

D. Minimum Education and Experience Requirements

  1. High school diploma or equivalent required
  2. Experience working with vendors preferred
  3. Customer service experience preferred
  4. Intermediate level of computer knowledge

E. Work Environment and Physical Requirements

The work environment will be indoors. Must be able to sit or stand for extended periods of time, file invoice copies, climb stairs, and lift 30 pounds.
