Position Description
Position Title: Registrar Office Assistant (Part-time)
Department: Registrar
Reports to: Assistant Registrar
The mission of the Registrar’s Office is to ensure the accuracy, integrity, and transmission of student academic records and enrollment related data by providing convenient access, quality service, and timely responses to requests for information from students, faculty, and staff. Institutional Goals supported by Department: IG 2, 4
*This position is designated as a Campus Security Authority (CSA), and will be required to participate in CSA training, and is required to immediately forward all reports of Clery Act crimes brought to their attention to the Clery Compliance Officer.Â
A. Summary
The Registrar Office Assistant is part of the team of the Registrar’s Office supporting students, staff, and faculty. He or she reports directly to the Assistant Registrar.Â
B. Primary Duties and Responsibilities
- Process requests for official transcripts and related information.
- Maintain permanent files and transcripts of students.
- Process enrollment/graduation verifications, loan deferments and good student discounts.
- Clerical duties such as filing, detailed proofreading, etc.
- Assist students with schedule changes, advising worksheets, and other requests as needed.
- Process internet submissions each semester as students fill submit registration forms.
- Process submissions for FERPA permissions and address changes in Jenzabar.
- Verify student eligibility for participation in sports.
- Digitize older paper records (grade sheets, student applications, etc.)
- Other duties as assigned by Registrar or Assistant Registrar.

- Ability to work independently with minimal supervision
- Ability to manage and prioritize work with multiple deadlines
D. Minimum Education and Experience Requirements
- High school diploma or equivalent
- Some college courses preferred
- Experience in college work environment desirable but not required
E. Work Environment and Physical Requirements
- Prolonged sitting
- Some standing, stooping, kneeling, and bending
- Ability to lift up to 25 pounds
- Ability to work in periods of time with fast-paced work
